Reasons/purposes for processing information
Please be assured that we only store information when strictly necessary. We do not store credit card details, nor do we share customer details with any third parties. We process personal information to enable us to provide education, training, welfare and educational support services, to administer tuition centre property; maintaining our own accounts and records and to support and manage our employees. We also use CCTV for security and the prevention and detection of crime.
Type/classes of information processed
We process information relevant to the above reasons/purposes. This may include:
- personal details
- family details
- lifestyle and social circumstances
- education and employment details
- financial details
- goods and services
- disciplinary and attendance records
- vetting checks
- visual images, personal appearance and behaviourWe retain a hard copy of your free assessment form. We also store names and contact telephone numbers on our mobile telephone. We store names and telephone numbers on a word-processed document which is stored on our Google Drive.
Staff information is stored on RTI government payroll software. We also retain hard copies of staff application forms, references, proof of ID and DBS checks.
We also process sensitive classes of information that may include:
- physical or mental health details
- information about offences and alleged offences
Who the information is processed about
We process personal information about:
- employees
- customers
- students and pupils
- suppliers and service providers
- complainants, enquirers
- individuals captured by CCTV images
Who the information may be shared with
We sometimes need to share the personal information we process with the individual and also with other organisations. Where this is necessary we are required to comply with all aspects of General Data Protection Regulation (GDPR). What follows is a description of the types of organisations we may need to share some of the personal information we process with for one or more reasons. Where necessary or required we share information with:
- family, associates and representatives of the person whose personal data we are processing
- local and central government
- healthcare, social and welfare organisations
- police forces, courts
- current, past or prospective employers
- financial organisations
CCTV for crime prevention
CCTV is used for maintaining the security of property and premises and for preventing and investigating crime. For these reasons the information processed may include visual images, personal appearance and behaviours. This information may be about staff, customers and clients, offenders and suspected offenders, members of the public and those inside, entering or in the immediate vicinity of the area under surveillance. Where necessary or required this information is shared with the data subjects themselves, police forces and persons making an enquiry.
How long do we store data?
If your child attends lessons at Better Tuition, we retain your free assessment form and hard copies of any other formal assessment carried out for a period of up to one year after your child stops attending lessons. After this time, the free assessment form is shredded. If your child attends a free assessment but does not attend lessons, we retain a copy of the free assessment form for a period of up to one year. After this time, the free assessment form is shredded. We normally store telephone numbers indefinitely.
If you would like us to delete the data we have stored about you or your child
Please inform us of this. We shall comply within 72 hours of your request.
If you would like to access the data we have stored about you or your child
Please let us know. We will comply within 30 days of the date of your request.
If you believe there is a problem with the way we are handling/ have handled your data
